These terms are a contract between you and Apollo Calendar Engine Ltd., a corporation registered in British Columbia, Canada (“Apollo”, “we”, “us”, “our”).
They cover your use of the Apollo Discord bot, the dashboard at app.apollo.fyi, and our websites. By adding Apollo to a Discord server, using it, or purchasing a subscription, you agree to them.
Our Privacy Policy explains how we handle personal information and forms part of these terms.

1. What Apollo is
Apollo is an event scheduling and calendar service that runs inside Discord. It lets server administrators create events, collect signups, send reminders, and manage a calendar for their community, through the bot and through our web dashboard.
Apollo depends entirely on Discord’s platform and API. We are not affiliated with, endorsed by, or sponsored by Discord Inc. If Discord is down, changes its API, restricts our access, or removes Apollo from the platform, parts or all of the service may stop working. We will do our best to adapt, but we are not responsible for outages or changes caused by Discord.
Your use of Discord is governed by Discord’s own terms. Nothing here overrides them.
2. Who can use Apollo
You must be at least 13 years old, or the higher minimum age that applies to Discord in your country, whichever is greater. If you are under the age of majority where you live, you may only use Apollo with the involvement of a parent or guardian.
If you agree to these terms on behalf of an organization, you confirm you have authority to bind that organization, and “you” means that organization.
3. Your account and your server
To use the dashboard you sign in with Discord. You are responsible for your Discord account and for anything done through it on Apollo.
If you add Apollo to a Discord server, you confirm that you have permission to do so, and you are responsible for how Apollo is used in that server. Server administrators control what events exist, who can create them, and what data is entered.
4. Acceptable use
You may not:
- Use Apollo to break any law, or to help anyone else break the law
- Use Apollo in a way that violates Discord’s Terms of Service, Community Guidelines, or Developer Policy
- Harass, threaten, defraud, impersonate, or harm anyone
- Use Apollo to organize or promote anything illegal, or to expose minors to inappropriate content
- Send spam, chain messages, or unsolicited promotional content through Apollo
- Overload, disrupt, or interfere with the service, or attempt to circumvent rate limits, usage limits, or free tier restrictions
- Scrape, crawl, or use automated tools against Apollo except through interfaces we provide for that purpose
- Attempt to gain unauthorized access to our systems, other users’ accounts, or data you are not entitled to see
- Introduce malware or anything else harmful
- Reverse engineer, decompile, or copy Apollo, except where that restriction is prohibited by law
- Resell or sublicense access to Apollo without our written agreement
We may suspend or terminate access for anyone who breaks these rules.
5. Your content
You keep ownership of everything you put into Apollo: event titles, descriptions, images, comments, and anything else (“Your Content”).
You give us a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, adapt, and display Your Content solely for the purpose of operating and providing the service to you and to the people you share it with. That licence exists so we can run the product. It ends when you delete the content, apart from copies in routine backups, which expire on their normal cycle.
You are responsible for Your Content. By submitting it you confirm that you own it or have the right to use it, and that it does not infringe anyone’s rights or break any law.
We are not obliged to monitor content, but we may review and remove anything that breaks these terms or that we are legally required to remove.
Images and public links
Images uploaded to events are served from a randomly generated URL that is not access-controlled. Anyone with the link can view the image. Do not upload anything you would not want seen outside your server.
Copyright complaints and takedowns
If you believe content on Apollo infringes your copyright or other rights, email support@apollo.fyi with a description of the work, the URL of the content, your contact details, and a statement that you have a good faith belief the use is not authorized. We will investigate and remove infringing content. We may terminate the accounts of repeat infringers.
6. Our content
Apollo, including the bot, the dashboard, our websites, our name, and our logo, belongs to Apollo Calendar Engine Ltd. and our licensors, and is protected by Canadian and international copyright and trademark law. We give you a limited, revocable, non-transferable right to use the service under these terms. Nothing else is granted.
7. Free and paid plans
Apollo has a free tier and paid Premium subscriptions.
We may change what the free tier includes, including limits on recurring events, event capacity, and other features. Where a change materially reduces what a free workspace can do, we will give notice in advance where practical.
Events on free workspaces are deleted 12 months after the event ends, as described in our Privacy Policy.
8. Subscriptions and billing
Premium subscriptions are billed in advance, monthly or annually, through Stripe. A small number of legacy subscriptions are billed through Patreon, and these terms apply to them in the same way.
Your subscription renews automatically at the end of each billing period at the then-current price, unless you cancel first. You authorize us to charge your payment method for each renewal.
You are responsible for giving us accurate billing information and for keeping your payment method valid. If a payment fails, we may retry it, contact you, and suspend or cancel Premium features if it remains unpaid.
Taxes. Prices are shown in your local currency where we support it. Depending on your location, prices may be shown inclusive of VAT, GST, or sales tax. Business customers in the EU and UK can provide a valid VAT or business number at checkout and be charged on a tax-exclusive basis, with reverse charge applied where it is available.
Price changes. We may change our prices. Any change applies from your next billing period, and we will give you notice before it takes effect so that you can cancel if you do not want to continue at the new price.
9. Cancellation and refunds
You can cancel at any time from the dashboard or by emailing support@apollo.fyi. When you cancel, you keep Premium features until the end of the period you have already paid for, and you are not charged again.
Refunds. We refund any charge within 7 days of that charge, on request. This applies to first purchases and to renewals. Beyond 7 days we do not offer refunds as a matter of policy, though we sometimes make exceptions, so it is always worth asking.
EU and UK consumers. If you are a consumer in the EEA or the UK, you have a statutory right to withdraw from a purchase within 14 days. By subscribing and getting immediate access to Premium features, you ask us to begin providing the service straight away. You can still withdraw within 14 days, and we will refund you, reduced in proportion to the service already provided if you have used it. Nothing in these terms limits your statutory rights as a consumer.
10. Availability
We work hard to keep Apollo running, but we do not promise any particular level of uptime or availability. We do not offer a service level agreement.
We may change, suspend, or discontinue any part of Apollo. If we discontinue a paid feature or shut down the service entirely, we will give reasonable notice and refund any prepaid amount covering the period after the shutdown.
11. Suspension and termination
We may suspend or terminate your access, or remove Apollo from a server, if you break these terms, if we are required to by law or by Discord, or if your use creates risk for us or for other users. Where the circumstances allow, we will tell you why.
You can stop using Apollo at any time by cancelling your subscription and removing the bot from your servers. See our Privacy Policy for what happens to your data.
Sections that by their nature should survive termination do survive it, including sections 5, 6, 12, 13, 14, and 17.
12. Disclaimer
Apollo is provided “as is” and “as available”. To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
We do not warrant that Apollo will be uninterrupted, error free, or secure, that reminders and notifications will always be delivered on time, or that it will meet your requirements. Do not rely on Apollo as the only record of anything important.
Some jurisdictions do not allow the exclusion of certain warranties. Where that is the case, this section applies only to the extent permitted, and your statutory rights as a consumer are unaffected.
13. Limitation of liability
To the fullest extent permitted by law:
- We are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost revenue, lost data, or lost opportunities, arising from your use of Apollo.
- Our total liability for all claims arising out of or relating to these terms or the service is limited to the greater of the amount you paid us in the 12 months before the claim arose, or CAD $100.
These limits apply regardless of the legal theory, and even if we were told the damage was possible. They do not apply to liability that cannot be limited by law, including for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.
14. Indemnity
If you are using Apollo for business purposes, you agree to indemnify and hold harmless Apollo Calendar Engine Ltd. and its directors, officers, and employees from any claims, damages, losses, and reasonable legal costs arising out of your use of the service, Your Content, or your breach of these terms. This section does not apply to consumers.
15. Feedback
If you send us ideas, suggestions, or feature requests, we can use them freely without owing you anything and without any obligation of confidentiality. You keep any rights you have in your own material, but you grant us a perpetual, irrevocable, royalty-free licence to use the feedback in any way. Do not send us anything confidential.
16. Third party services
Apollo depends on third party services including Discord, Stripe, and our hosting and infrastructure providers, and our sites may link to third party websites. We are not responsible for those services or sites, their content, or their practices. Our Privacy Policy lists the providers we use.
17. General
Assignment. You may not transfer your rights under these terms without our consent. We may assign these terms, in whole or in part, to an affiliate or in connection with a merger, acquisition, reorganization, or sale of all or substantially all of our assets. We will give notice if we do.
Changes to these terms. We may update these terms. When a change is material, we will give at least 14 days notice by email or in the dashboard before it takes effect. Continuing to use Apollo after that means you accept the change. If you do not accept it, cancel your subscription and stop using the service.
Governing law. These terms are governed by the laws of British Columbia and the federal laws of Canada that apply there, without regard to conflict of law rules. You and we agree to the exclusive jurisdiction of the courts of British Columbia. If you are a consumer, this does not deprive you of the protection of the mandatory laws of your country of residence, or of the right to bring proceedings there.
Force majeure. We are not liable for failure to perform caused by events beyond our reasonable control, including outages or changes at Discord or our infrastructure providers, natural disasters, and acts of government.
Severability. If any provision is found unenforceable, it is limited or removed to the minimum extent necessary and the rest stays in force.
No waiver. If we do not enforce a right, that is not a waiver of it.
Entire agreement. These terms and our Privacy Policy are the entire agreement between us about Apollo, and replace any earlier terms.
